If your wedding is happening in the Kigo and Lake Victoria stretch south of Kampala, the venue question is usually settled before anyone thinks about the accommodation question. That is the wrong order, and most couples discover it about six weeks out, when the parents are asking where they are sleeping and the photographer is asking where the morning is happening.

This guide is about that second question. Where the wedding party stays, how the getting-ready morning works when it happens in an apartment rather than a hotel corridor, where a smaller private gathering can happen, and what the concierge can take off your list.

One thing to say plainly at the start, because it saves everyone time. HMK Living is accommodation with a restaurant and a top-floor Penthouse suited to private hosting. It is not a wedding venue. Why do couples look at the Kigo area for a wedding?

Because the geography works for guests who are travelling, and because the setting changes the weekend. Kigo sits on Kigo Road in Wakiso District on the Lake Victoria shore, about 20 km from Entebbe International Airport via the Entebbe Express Highway, and roughly 25 minutes from central Kampala.

That airport figure is the one that matters for a wedding. A guest list with relatives flying in from abroad is a logistics problem before it is a seating problem, and the expressway means those guests arrive without crossing the city. Someone landing at 7:00 PM the night before can be unpacked and eating by 8:15 PM rather than sitting in traffic.

The second reason is atmosphere. The lakeside stretch is residential and quiet in a way central Kampala is not, and it is adjacent to the Lake Victoria championship golf resort, with a wellness spa next door. For a wedding weekend, that gives the days around the event something to be: a round of golf for one half of the party, a spa afternoon for the other, and a lake to look at in between. The third reason is more practical than romantic. Keeping the accommodation close to the venue removes the single largest source of wedding-weekend friction, which is people in cars at the wrong time.

Where does the wedding party actually sleep?

In apartments rather than single rooms, close enough to the venue that nobody is driving in formalwear for long. That is the whole principle, and the apartment-versus-room part is what most couples underestimate.

A bridal party does not use a bedroom the way a business traveller does. Six people spend four hours in one space on the morning of the wedding: dresses hanging, hair being done, breakfast arriving, a photographer moving around, somebody on the phone to the florist. Two details worth knowing before you allocate. The Studio Deluxe and the 1BHK Suite have a kitchenette — a kettle, a microwave and a fridge — which is enough for tea at 6:00 AM and a snack at midnight. Fully stocked kitchens, the kind you can actually cook in, are in the 2BHK Suite and the Penthouse only. And there are no washing machines in the apartments; laundry is handled as a service, which on a wedding weekend is the more useful arrangement anyway, since what you need is a shirt pressed rather than a machine cycle.

How does the getting-ready morning work?

It works if one apartment is designated as the base and everything else is kept out of it. The 3BHK Penthouse is the one couples use for this, and the reason is floor area rather than luxury.

From 180 m² on the top floor, with three king bedrooms, three bathrooms and an open-plan living and dining area, it gives a bridal party three separate bathrooms for hair and make-up, bedrooms to dress in, and a living room that stays clear for the photographer and whoever is managing the schedule. Three bathrooms for six people is the specification that decides whether the morning runs to time.

A workable running order for a 2:00 PM ceremony:

  • 7:00 AM. Breakfast in the ground-floor restaurant for whoever is awake, or sent up to the apartment. It is included with the stay, so it needs no arranging beyond telling the concierge the timing.
  • 8:00 AM. Hair and make-up begin. Two bathrooms running, one kept free.
  • 9:30 AM. Dresses out and hanging. This is also when somebody should be checking the flowers have arrived at the venue, not at the apartment.
  • 11:00 AM. Photographer arrives for the preparation sequence. The living area should be tidy by now, which is the one instruction worth giving the group.
  • 12:00 PM. Something light to eat, ordered through room service from the restaurant kitchen. Skipping this is the commonest mistake of the day.
  • 12:45 PM. Dressing.
  • 1:30 PM. Cars. Chauffeur service and transfers are arranged through the concierge, and the Penthouse carries the Platinum activity tier by default, which includes chauffeur service.

Two things to decide in advance rather than on the day. First, who is allowed in the apartment, and tell them — a getting-ready room with eleven people in it is not a getting-ready room. What kind of private gathering can actually happen here?

A smaller, seated, private one — a rehearsal dinner, a family dinner the night before, a post-reception gathering for the people who are still talking at midnight. The Penthouse has an open-plan living and dining area with dining for ten and a chef-ready kitchen, and the food comes up from the ground-floor restaurant kitchen.

It is worth being exact about the scale, because wedding planning runs on optimistic numbers. Dining for ten means ten at the table. A gathering where people are standing with a drink and moving between the living area and the dining area absorbs more than that, and the concierge will tell you what your specific configuration takes. What it does not do is host a reception. There is no function room, no event lawn and no space laid out for a seated hundred, and a planner who needs those should be looking at the dedicated venues in the Kigo and Munyonyo area.

The three formats that genuinely suit a top-floor apartment:

The rehearsal dinner, eight to ten at the table. The night before, the immediate family and the wedding party, one table and nobody else in the room. This is the best use of the space by a clear margin. The conversation stays single, which is the point of a rehearsal dinner and the thing a restaurant's private corner never quite delivers.

The gathering after the reception. The reception ends, the venue closes, and fifteen people are not ready to stop. A top-floor apartment in the same building where they are all sleeping is the answer to that, and the fact that nobody has to drive afterwards is worth more than the room.

The morning-after breakfast. The most underrated event of any wedding weekend. Breakfast is included with every stay and served downstairs, so the only thing to arrange is telling the concierge roughly when your group will appear. More gets said over that coffee than over anything the night before.

What can the concierge arrange, and what should you ask for?

What to ask for, roughly in the order it becomes urgent:

  • Airport transfers, booked against the flight number rather than a scheduled time, so a delayed relative is collected rather than missed.
  • Chauffeur service for the day itself and for guests moving between the accommodation and the venue. The activity tiers — Bronze, Silver, Gold and Platinum — determine the hours included, and the Penthouse is Platinum by default.
  • A private chef, which can be arranged, for a rehearsal dinner or a family meal cooked in the apartment rather than sent up.
  • In-apartment dining and room service, from the same à la carte list the restaurant cooks daily: grills, curries, pizza, pasta, salads, fresh juice and coffee.
  • Breakfast timing for a group arriving downstairs at the same time, which is a courtesy to the kitchen as much as anything.
  • Laundry and pressing for the party. Hand it over on arrival. A suit that has been in a bag since Thursday needs this and nobody remembers until Saturday morning.
  • Spa and golf bookings — the wellness spa next door and the championship course adjacent — for the day before and the day after, which is how a wedding becomes a weekend.
  • Supplier access, which is the one that needs the most notice. The property is gated with 24/7 armed security and a managed vehicle entrance, so hair, make-up, photography and deliveries all need to be on a schedule the site team has seen. Share the list and the arrival times at least a week out.

What the concierge does not do is plan your wedding. Floristry, the ceremony, the reception, the cake, the officiant and the venue itself sit with you and your planner. The division is clean and worth stating up front: the venue runs the event, the property runs the stay.

How many apartments do you need, and when should you book?

Count the people who are actually sleeping over, not the people on the invitation list. That number is usually far smaller than couples assume, and it is the only one worth planning around.

A straightforward way to build it:

  1. The couple. One apartment, and it should be the nicest one you are paying for. On the night itself, this is the only booking nobody will regret.
  2. The getting-ready base. Often the same apartment, often not. If the wedding party is five or more, make it the Penthouse and let the couple have it from the night before.
  3. Immediate family. Parents, siblings, grandparents. 1BHK Suites, with a king and a kitchenette each, or a 2BHK where a couple is travelling with a child.
  4. The wedding party. Studio Deluxe apartments for individuals; a 2BHK Suite shared by two attendants is usually better value and better company.
  5. Out-of-town guests. Anyone who has flown in. This is the group that grows, and the group most grateful not to be driving back to the city at midnight.

On timing: for a Saturday in the busier December or July stretches, start the conversation twelve to sixteen weeks out. For a quieter month, eight weeks is usually comfortable. Either way, ask for the whole block as one quote through the concierge rather than booking apartment by apartment on the website, because a block quote is what gets the apartments allocated near each other.

Two rate points to know. Stays of seven nights or more carry a discount of 10 to 20 per cent, which usually applies to the couple staying on or to family travelling from abroad rather than to the wedding-party nights. What does a wedding weekend look like day by day?

Here is the shape most couples end up with, assuming a Saturday ceremony at a venue in the Kigo or Munyonyo area and a party staying on the lake.

Thursday. Guests flying in start arriving. Transfers from Entebbe on the expressway, about 20 km, booked against flight numbers. The couple checks into the Penthouse. Dinner is à la carte downstairs or room service for anyone who has been on a plane all day. Suits and dresses go to laundry for pressing.

Friday. The slow day, and worth protecting. A round at the championship golf course next door for one half of the party; the wellness spa for the other. Late afternoon, the rehearsal at the venue. Evening, the rehearsal dinner: ten at the Penthouse table, food up from the restaurant kitchen or a private chef in the apartment, finishing early enough that the morning is survivable.

Saturday. The running order above. Breakfast from 7:00 AM, hair and make-up from 8:00 AM, photographer at 11:00 AM, something to eat at midday, cars at 1:30 PM. The ceremony and reception happen at the venue. Late evening, whoever is still going comes back to the top floor, and nobody drives.

Sunday. Breakfast downstairs, included, with the group drifting in across two hours. This is the morning everyone remembers more fondly than they expect. Check-out, or a lake afternoon for anyone staying on.

Monday onwards. The couple stays, or the family does. A quiet apartment with a lake view after four days of logistics is the most sensible thing you will book all month, and if it runs past seven nights the long-stay discount applies.

What are the mistakes planners see most often?

Five, and all of them are accommodation mistakes rather than event mistakes. Each is cheap to avoid and expensive to fix on the day.

1. Booking rooms instead of apartments for the wedding party. The morning needs floor space and bathrooms, not bed count. Six people and one bathroom is how a 2:00 PM ceremony becomes a 2:40 PM ceremony.

2. Leaving the supplier schedule until the week of. A gated property with managed vehicle access needs to know who is coming and when. This is a one-message job done a week out, and a genuine problem done on the morning.

3. Not feeding the wedding party. Breakfast is included and room service runs from the restaurant kitchen all day. A party that has not eaten since 7:00 AM photographs exactly as you would expect.

4. Confusing hosting space with a venue. A top-floor apartment with dining for ten is excellent for ten and wrong for sixty. Decide which event you are planning, book the venue for the big one, and use the apartment for the small one.

5. Forgetting the morning after. It costs nothing — breakfast is already in the rate — and it is the part of the weekend the out-of-town guests talk about afterwards. Just tell the concierge when your group will appear.

A sixth, for anyone planning from abroad: ask about distances before you fix the schedule. Central Kampala is roughly 25 minutes away and the airport about 20 km, but a Saturday afternoon drive in formalwear is a different proposition from a Tuesday morning one. Build the buffers.

Hold the wedding at a wedding venue. Put the party up somewhere they can get ready properly, eat without planning it and sleep without driving. If there is a smaller dinner in the weekend — a rehearsal, a family meal, the late gathering after the reception — a top-floor apartment with dining for ten does that better than a corner of a restaurant.
